A Proposal for Patient Notification Design
Executive Summary
The Visual Status Indicator (VSI) system is designed to streamline patient communication by utilizing universal iconography (🛑, ⚠️, ✅) in SMS notifications. By providing an instant visual "shorthand" for prescription status, we aim to reduce cognitive load for patients and decrease the volume of inbound "status check" phone calls to the pharmacy staff.
The Visual Language
To ensure maximum clarity and accessibility, the system moves beyond simple color circles to distinct geometric symbols:

End-to-End Notification Workflow
Phase 1: Intake & Processing
Trigger: Prescription successfully scanned into the system.
Goal: Acknowledgment. The yellow symbol indicates "Process in motion."
Phase 2: Exception Handling (The "Stop" Protocol)
Trigger: Insurance rejection or "Out of Stock" status.
Goal: Immediate attention. The red stop sign prevents the patient from showing up to the pharmacy prematurely.
Phase 3: Delay Updates
Trigger: Change in "Promise Time" or waiting for a shipment.
Goal: Temper expectations. Reduces "Is it ready yet?" phone calls.
Phase 4: Ready for Pickup
Trigger: Pharmacist final verification and bagging.
Goal: Conversion. The green check provides a hit of dopamine and clear confirmation to travel to the store.
Phase 5: Pickup Confirmation (Optional)
Trigger: Order sold at POS.
Key Benefits
For the Patient
- Glanceability: Patients can determine the state of their healthcare in under 1 second of looking at their lock screen.
- Reduced Anxiety: Clearly defined symbols remove the ambiguity of "System Update" messages.
For the Pharmacy
- Call Volume Reduction: By proactively using ⚠️ and 🛑, we stop patients from calling to ask about delays.
- Efficiency: Streamlined communication allows technicians to focus on filling rather than phone triage.
Risk Mitigation & Implementation
- Double Encoding: Every notification includes both the symbol and the written status (e.g., "✅ READY") to ensure those with color-blindness or older devices can still interpret the message.
- Tone Consistency: The system uses professional, concise language to balance the casual nature of emojis.
- Character Limits: Notifications are optimized to stay under 160 characters (GSM segments) to minimize SMS overhead costs.
